Escape Room Booking Software: What It Handles, What It Misses, and How to Close the Gap

A practical guide to escape room booking software for owners: the features that matter, how to choose a platform, and the booking conversations your software cannot handle on its own.

By Naveen Meena, Thrilldesk. October 12, 2026, 7 min read.

Every escape room needs booking software. Without it you are managing slots in a spreadsheet, taking payments by phone and chasing waivers at the door. With it, customers pick a room and a time, pay, and arrive ready to play.

But booking software only handles the customers who already know what they want. A large share of escape room revenue comes from people who are not ready to click "book" yet: the team lead who needs to know if twelve people can play at once, the parent asking if a room is too scary for ten-year-olds, the company that wants an invoice instead of a card payment. Those conversations happen before the booking widget, and most booking platforms are not built to handle them.

This guide covers both halves: what to look for in escape room booking software, and how to handle the questions it cannot answer, so the people who are almost ready to book end up booking.

What escape room booking software does well

Modern booking platforms cover the transactional side of running rooms. The core features to expect:

  • Room and slot management. Each room with its own schedule, game length, reset time and capacity.
  • Team-size pricing. Prices that change with the number of players, including minimums and private-room rules.
  • Online payments and deposits. Card payments, deposits for larger groups, and refunds.
  • Waivers. Digital waivers signed before arrival, attached to the booking.
  • Gift cards and vouchers. Sold online and redeemed at checkout.
  • Reminders. Confirmation and reminder emails or texts so teams arrive on time.
  • Reporting. Bookings, occupancy and revenue by room and by day.
  • Website widgets. A booking calendar embedded on your own site.

Widely used platforms among escape rooms and similar attractions include Bookeo, Resova, FareHarbor, Xola, Peek Pro and Checkfront, alongside platforms built specifically for escape rooms. Features and pricing change often, so compare current offerings directly rather than relying on older reviews.

How to choose escape room booking software

Most platforms cover the basics. The differences show up in the details that matter for your business. Score each option against these questions.

Does it handle your room logic?

  • Can each room have its own game length and reset buffer?
  • Can you sell a room privately, or let separate groups share it, as you prefer?
  • Can you block rooms for maintenance or private events easily?

Does the pricing model fit how you sell?

  • Per-player pricing with sensible minimums
  • Different prices for peak and off-peak times
  • Group, corporate and school pricing
  • Deposits for large or private bookings

How does it treat your margin?

Platforms charge in different ways: monthly subscriptions, per-booking fees, or fees passed on to the customer. Work out the total cost at your real booking volume, not the advertised starting price.

Does it work on a phone?

A large share of escape room bookings happen on mobile. Test the checkout on your own phone, from your own website, start to finish. Count the taps.

Does it connect to what you already use?

Check for integrations with your payment provider, email marketing tool, Google Analytics, and any point-of-sale system at the front desk.

Can you leave?

Make sure you can export customer and booking data if you switch platforms later.

What booking software does not handle

Booking software is excellent at taking a booking once the customer has decided. It is not designed to help them decide. That gap is where escape rooms lose bookings every week.

Questions before the booking

These are the questions owners hear constantly:

  • "Is this room too scary for kids? My daughter is nine."
  • "We have fourteen people. Can we all play at once?"
  • "Which room is best for first-timers?"
  • "Is there parking? Is it wheelchair accessible?"
  • "Can we bring a cake and stay afterwards?"

A booking widget cannot answer any of them. If the answer is not obvious on your website, the customer either messages you, calls, or leaves.

Corporate and team-building inquiries

Corporate bookings are some of the most valuable an escape room receives, and the least likely to go through a booking widget. Companies typically need:

  • Several rooms running at the same time for a large team
  • A quote before anyone can approve the spend
  • Payment by invoice rather than card
  • Catering, a debrief room, or a specific start time
  • Dietary or accessibility details for the group

These requests usually arrive by email or a contact form. If they wait two days for a reply, the organiser often moves on to the next venue on their list.

Messages on other channels

Customers ask questions wherever they found you: Instagram, Facebook, WhatsApp, Google Business messages and your website chat. Booking software does not answer any of these.

Missed calls

When game masters are running rooms, the phone often rings out. Callers who cannot reach you rarely leave voicemail.

Closing the gap: answering before the booking

The solution is not more booking software. It is making sure every pre-booking question gets a fast, accurate answer, on whatever channel it arrives, at any time of day.

There are three ways to do that.

1. Staff it. Assign someone to watch every channel during opening hours and respond quickly. This works for smaller venues during quiet periods, but breaks down when game masters are busy running rooms and after closing time.

2. Improve your website. A detailed FAQ, clear room descriptions with difficulty and scare level, and a group bookings page answer many questions before they are asked. Every escape room should do this regardless of what else it uses.

3. Add an AI booking agent. An AI booking agent answers pre-booking questions across website chat, social media, WhatsApp, email and texts to missed callers, using your approved information. It recommends the right room, explains team sizes and pricing, and sends the customer to the exact slot in your booking software. For corporate inquiries, it collects the group size, preferred dates, budget and invoicing needs, then hands the conversation to your team with everything attached.

The important principle: the agent sits in front of your booking software, not instead of it. Customers still book and pay through the platform you already use.

A corporate inquiry, handled properly

Here is what good handling of a team-building inquiry looks like, whoever or whatever does it.

The inquiry, by email at 7:10 am on a Monday:

We're looking for a team-building activity for 18 people on a Thursday afternoon next month. Can you fit us in, and what would it cost?

A strong reply, within minutes:

Yes, we can. For 18 people we'd run three of our rooms side by side, six players each, starting at the same time, so everyone finishes together for a debrief. It's $35 per person, $630 in total, and Thursday afternoons next month have 1:00 pm and 3:30 pm open. Would you like me to hold one of those while you confirm? We can invoice your company directly.

What the owner receives:

New corporate inquiry: 18 people, Thursday next month, 1:00 pm or 3:30 pm, three rooms in parallel, $630, invoice requested. Contact details and full thread attached.

The difference between this and a reply two days later is usually the booking itself.

What to measure

Whatever you use, track where bookings come from and how quickly inquiries are answered:

  • Response time to messages, emails and form fills, during and after opening hours
  • Inquiries by channel: website, Instagram, Facebook, WhatsApp, email, phone
  • Conversion rate from inquiry to booking
  • Corporate and group revenue as a separate line
  • Bookings attributed to each source, using tracking parameters on the links you send

If your booking software reports show strong direct bookings but weak group and corporate numbers, the gap is almost always in the conversations before the booking.

Frequently asked questions

What is the best escape room booking software?

There is no single best platform. The right choice depends on your room logic, pricing model, volume and budget. Shortlist two or three platforms that handle per-player pricing, deposits, waivers and private bookings, then test each checkout on a phone using your own rooms.

Can booking software answer customer questions automatically?

Most platforms can send confirmations and reminders, but they do not hold conversations. Answering free-text questions such as team size, difficulty or invoicing requires a person or an AI booking agent connected to your booking links.

Do I need to switch booking software to add an AI booking agent?

No. A booking agent works in front of the system you already use and sends customers to it. Your calendar, payments and waivers stay exactly where they are.

How should escape rooms handle corporate bookings?

Respond within the hour, recommend a specific setup for the group size, give a clear price, offer to hold a date, and make invoicing easy. Corporate organisers usually contact several venues at once and book the first one that makes approval simple.

How do I stop losing bookings when game masters are busy?

Make sure every channel is answered even when nobody is free: missed calls texted back within a minute, messages answered automatically from approved information, and anything complex passed to a person with full details.

The short version

Choose booking software that fits your rooms, your pricing and your customers' phones. Then accept that it only handles customers who have already decided. The questions before the booking, and especially corporate and group inquiries, need fast and accurate answers on every channel. That is where most escape rooms have the most room to grow.
